How to save money on your next tent rental

A special events rental company recently proved it was “just what the doctor ordered” for a Minnesota hospital fundraiser. Event organizers came to our company with a request for a free space rental tent larger than a football field to be erected on the hospital grounds. What seemed like a fairly simple request had a number of logistical challenges:

o Large landscaping planters located throughout the lawn
o A sprinkler system on the ground that could be damaged by the heavy equipment needed to set up the tent
o A maze of sidewalks crisscrossing the property, while functional on a day-to-day basis, posed a potential hazard as an uneven base for event attendees.
The year before, another tent company built an expensive raised floor over the entire lawn, including the planters, that hospital event organizers hoped to avoid. Was my company up to the challenge?

The answer is yes. But making the best recommendation required a thorough hospital visit, a site review, and plans for the event. During the site visit, it was determined that there was enough space for the 164-foot-wide by 214-foot-long clear tent they wanted and also that it was possible to incorporate the landscape planters into the overall plan so that they could add to the ambience of the surroundings. . .

Our plan included the brightly lit marquee, which creates an open, ballroom-like environment. A laid plywood floor integrated the planters rather than covering them. This feature saved the hospital over $ 100,000.00 in flooring costs alone. Carpeting, lighting and glazed entry doors finished off the installation. A team of 10 employees worked for seven days to install all the rental equipment.

The hospital fundraiser went smoothly and was considered a great success. In fact, it is so successful that our company has already been hired for next year’s fundraising event.

Planning ahead and attention to detail were the keys to success. Knowing the customer, developing a plan around those expectations, and then executing every detail is what we do best.

The Clear span tent was 164 ‘x 214’, representing more than 35,000 square feet of indoor space (large enough to cover a soccer field).

The project required seven semi-tractors packed with equipment.

The installation of the event was supervised by an owner to ensure that all the details were exactly as planned. A team of 10 employees worked for seven days to install all the equipment for special events.
